Voice Sales Bot Case Study

I am trying a new video format where I share client stories, real projects we’ve been working on here at Wax Plum.

Today, I wanna show you a voice sales bot we built for a coaching company. The client wanted something more engaging rather than a static contact form or phone number. They wanted prospects to be able to have a real time conversation and get immediate value. And voice was important; they wanted it to feel like talking with someone from the company.

To build it, we used Elevenlabs for natural speech, Gemini 2.5 Flash Lite for its low latency. We grounded it with a knowledge base of more than 150 articles, three eBooks. Just a ton of stuff. Too much stuff in fact. In the RAG which I’ll get into. All this was stitched together with a system prompt. We spent a lot of time tweaking to keep it grounded in the RAG.

At first the bot acted like a coach. With that too much information in the RAG. You just had these long conversations, answering questions and giving tips, but the client really wanted it to be a sales agent, so we fine tuned the system prompt and had it be a little bit snappier in how it, has that conversation.

So now the bot introduces itself, it gives short relevant advice, it offers resources from the website, and it always circles back to grabbing contact info from the user.

Bot: Welcome to Kohn Communications. I’m a bot trained on Kohn Communications content. How can I help you?

G: Yeah. I’d like to get better at closing deals.

Bot: Here are three quick tips to help you improve your closing skills. One, understand your prospect’s criteria before attempting to close. Two, clearly communicate the value and benefit.

G: That’s terrific. Thank you. Can you put me in touch with someone at your company?

Bot: Please tell me your email or phone number and someone will be in touch with you.

G: It’s garth@waplum.com.

Bot: I have your email as garth@waxplum.com. I have closing deals as the purpose of your inquiry, is that right?

G: That’s right.

Bot: Terrific. We will be in touch. Please feel free to browse the site and let me know if you have any other questions.
